    • The IRS code requires that all employers send W-2 forms to you, as an employee, before the end of January, unless the day falls on the weekend, which extends it to the next business day. The W-2 tax form provides the information to file your taxes. The top portion contains the tax information of your employer while your personal information is underneath. The right side of the form contains the earnings and amounts withheld for taxes. State earnings and amounts withheld are on the bottom of the form.

    Procedure

    • If you do not receive your W-2 by the deadline, contact the employer and request a copy of the W-2. You should also ask for the tax information given on the form to write down while on the phone. Contact the IRS at their toll-free number, 1-800-829-1040, Monday through Friday or visit your local office. Inform the representative that a W-2 has not been provided by employer "xyz" and you would like a copy of the one filed sent to you and the information provided over the phone. Give your name, address and Social Security number and dates of employment to the IRS representative.

    Filing

    • Even if you have not received your W-2, you must still file your taxes by the due date. You can complete the tax forms with the information you received over the phone from the employer or IRS representative. Estimate the total amounts by using your last paycheck stub as most stubs keep a tally of total current payments. File IRS form 4852, Substitute for Form W-2, provided you have contacted the IRS and employer previously. File for an automatic extension. Put "did not receive all W-2 forms" in the section for reasons.

    IRS form 1040X

    • Form 1040X allows you to amend your tax return if the missing W-2 form is received after you filed your taxes with estimated figures. Before you amend, compare the amounts in the new W-2 against the estimated numbers in your current tax return. If the amounts are the same then no further action is necessary. If the amounts are different then complete form 1040X. Insert the reason for the change as "received W-2 after taxes were filed," in section 3, explanation of changes. Send the form with a copy of the previously filed tax form and the supporting documents to the IRS. You can print a copy of the 1040X tax form at the IRS website.
