How to Synchronize Outlook Data

    • 1). Click the Microsoft Outlook icon in the taskbar of your computer to pull Outlook up on the screen. If you don't already have Outlook open on your computer, double-click the program icon on the desktop or go to "Start," "All Programs," "Microsoft Office," and click "Outlook in the menu. Log in to one of the Outlook accounts.

    • 2). Open the "Tools" menu in Outlook and choose the "Email Accounts" option. When the "Email Accounts" window opens, click "View or change existing mail accounts" and click "Next."

    • 3). Choose "Microsoft Exchange Server" on the screen that comes up and click the "Change" button. Click the "More Settings" link to view all of the available settings. Click the "Advanced" tab to switch to the advanced setting options.

    • 4). Click "Offline Folder File Settings" to open the "File" dialog box. Press "OK" to create a file using the default "Outlook.ost" file name. Click "OK" again to create an offline folder.

    • 5). Press the "Next" button to move to the last screen in the dialog box. Click "Finish" to close the box.

    • 6). Log out of the Outlook account from which you created the folder. Log back into Outlook using the name and password for one of the other Outlook accounts on the computer.

    • 7). Click on any folder that you want to sync in the task pane, such as "Inbox." With the folder selected, go to "Tools," choose "Send/Receive" from the menu and then click the "This Folder" option to sync the offline folder you created with the selected folder. To sync all folders at once, go to the "Tools" menu, click "Send/Receive" and choose "Send/Receive All."
